Case management tools enable organizations to transform their business operations by integrating content management, business process management (BPM) and customer relationship management (CRM) within one platform. A case file includes everything from contacts, organizations, notes and reports, to processes and other documentation. Additionally, as a case management vendor, Armedia must work with its customers’ stakeholders to achieve success.

Customers Need Analytics

Armedia began noticing patterns in its customers’ needs when it developed a composite of best practices to share with its clients. As the company was already storing customers’ data and becoming a data repository, it became clear that Armedia should provide an analytics tool for its customers.

Armedia’s customers include many federal agencies, so compliance is an important factor of its product offerings. ArkCase integrates with CMIS-compliant ECM platforms (such as Alfresco, Documentum, Nuxeo, OpenText and so forth) to provide DoD 5015.2-compliant records management. DoD 5015.2 is a standard created by the U.S. Department of Defense to regulate management of records within its systems and has since been adopted by many states, countries and local governments. Armedia has partnered with Amazon Web Services (AWS) to provide its solutions as FedRAMP Moderate offerings on GSA FedRAMP MarketPlace (current projected authorization date Q2 2023). For healthcare customers, ArkCase is HIPAA and HITECH compliant and adheres to regulations to safeguard protected health information (PHI), HIPAA’s Privacy Rule.

The Solution: Armedia Embeds Pentaho Business Analytics Into ArkCase

It was clear that Armedia needed an embedded analytics tool to complement its existing product offering. As James Bailey, CEO of Armedia, articulated, the staff picked Hitachi Vantara’s Pentaho platform because “it is an established brand for providing best-in-class enterprise business analytics and reporting.”

The Choice for Analytics

Armedia needed an analytics platform that could help discover patterns and predict the next steps in achieving its goals. It considered Pentaho Business Analytics, which it could be embedded to extend ArkCase’s usability for Armedia’s customers. And, ultimately, the company entered into an original equipment manufacturer (OEM) partnership with Hitachi Vantara, specifically for Pentaho Business Analytics.

Prior to using Hitachi Vantara’s embedded analytics tool, Armedia would preset its solutions to customers as a framework, which included a myriad of tools. Part of the initial toolbox included the community version of Pentaho, Kettle. As time went on, it became clear that the company needed to focus on providing one tool to its customers. After considering other solutions, including TIBCO Jaspersoft, they decided to go with Hitachi Vantara’s Pentaho Business Analytics (embedded).

Pentaho capabilities build on the features of ArkCase, according to Armedia CEO and co-founder James Bailey. “Pentaho sets the foundation for making strategic and tactical decisions based on the information within ArkCase,” he explains.

The Choice for Streamlined Business Processes

In today’s modern digital age, data at most organizations is spread across various systems, including CRM systems, shared drives, document management systems (DMS), and file systems. While CRM platforms provide structure to the chaos of records, companies often require a business process management (BPM) system to provide similar automation and structure to other tools. Companies turn to ArkCase to provide an overarching structure that encompasses their existing infrastructure and the flexibility to address organizational requirements.

Armedia selected ArkCase, which is known in the industry to provide customers with first-class support for core case management systems, to support its IT modernization and Hitachi’s Pentaho solution. ArkCase integrates Hitachi Vantara’s open source analytics software within its established software development methodology. The ArkCase platform helps organizations to reduce costs and provide their software at an accessible price point. Its goal is to improve efficiency amongst clients’ various systems.

The Outcome: Armedia Provides Additional Value To Customers

Armedia has smoothed processes and provided analytics tools successfully to various customers with its Pentaho and ArkCase solution.

One of ArkCase’s customers uses the embedded Pentaho solution as the primary interface for FederalConference.com’s employees to execute their daily work. As Mr. Davis, FederalConference.com’s COO and co-founder, explains, the automation made possible by ArkCase has resulted in an increase of efficiency by 40%. The company’s implementation has made managing events significantly easier, and staff have seen a reduction in errors as the previous manual processes have been automated.

Another example is Sharecare, an ArkCase customer that provides its clients with access to their medical records through a unified platform. With the help of Armedia’s Pentaho and ArkCase solution, Sharecare’s Health Data Services platform supports all medical imaging files, regardless of file type, as well as PDFs and other scanned documents. Processes around sharing data across practices and systems have been simplified, and communication has improved.
