Modernizing Records Management System with GovCloud
Vienna, VA – The U.S. Department of Housing and Urban Development (HUD) has awarded a contract to Armedia, in collaboration with Hartwood and Peniel Solutions LLC (PSL), to improve the Office of Housing’s records management process. This initiative aims to ensure compliance with regulatory mandates and enhance the efficiency of HUD’s records management. HUD’s Office of Housing was previously utilizing the Housing’s TransAccess Service (HTS), which managed approximately 80% of the department’s records. However, the need for a more comprehensive and compliant records management solution led to the development of the GovCloud Records system. This new system is designed to meet the National Archives Records Administration (NARA) Universal Electronic Records Management (ERM) Requirements version 2.04. Project Overview:
- Improve HUD’s records management process to ensure regulatory compliance.
- Purpose: Provide and host a new Electronic Record Management Application that meets NARA’s ERM Requirements.
- Old System: TransAccess Service (HTS).
- New System: GovCloud Records.
- Period of Performance: 09/30/2023-09/29/2024
Armedia has been instrumental in overseeing the project management services, Hartwood provided critical drive and invoice management, and PSL delivered the platform (GovCloud Records-GCR) for the new system via AWS. The migration to GovCloud Records began with three program offices: Single Family, Multifamily, and Healthcare. This migration was successfully completed by June 14th, and the system has been live since May 30th. With the implementation of GovCloud Records, HUD has successfully transitioned these three program offices and aims to onboard eight additional offices in the future. This new system will help HUD expand compliance records to all Housing headquarters, divisions and field offices, enhancing their records management capabilities. “The transition was a lot smoother than I expected” said Angelia Butler, CMD Director for HUD. “It has been a weight lifted off of us, to not only have partners who know both IT and Records Management (in reference to PSL and Hartwood) but also to have that other partner (Armedia) in there making sure we all stay on the same page and have a united front. This is the most important thing to me because it lets leadership know we can have confidence in what they are doing.”
